QuickBooks bank reconciliation problems (and how to fix them)

If your QuickBooks bank reconciliation won't match, shows a discrepancy, or the beginning balance is suddenly wrong, it's almost always one of a handful of causes. Here's how to find the difference — and how we fix it for good.

Quick answer

A QuickBooks reconciliation that won't match is almost always a wrong beginning balance, a duplicate or missing entry, a wrong-dated transaction, or an edited prior entry. Run the Reconciliation Discrepancy report, check the beginning balance, then tick each statement line — that finds most differences. Stuck or months behind? We rebuild it.

Common causes of a QuickBooks reconciliation that won't match

Work through these in order — one of them is almost always the culprit.

Wrong beginning balance

The reconciliation's beginning balance doesn't match last month's ending cleared balance — everything after it will be off.

Duplicate transactions

A payment or deposit entered twice — often once manually and once from the bank feed — throws the total off.

Wrong-dated entries

A transaction dated in the wrong period sits outside the statement window you're reconciling.

Edited or deleted history

A previously reconciled transaction was later changed, voided, or deleted, breaking the beginning balance.

Missing bank fees / interest

Charges or interest on the statement that were never entered in QuickBooks.

Transposed figures

A simple digit swap — 54 entered as 45 — creates a difference divisible by nine.

Fix it

How to clear the discrepancy

Check the beginning balance

Confirm it equals last month's ending cleared balance. If not, find what changed before going further.

Run the Discrepancy report

QuickBooks' Reconciliation Discrepancy report lists transactions that were edited or deleted after being reconciled.

Tick line by line

Match each statement line to QuickBooks, flagging anything missing, duplicated, or wrong-dated.

Correct & re-reconcile

Fix the offending entries (and any broken prior period), then complete the reconciliation so it ties to the bank.

When to get help

Stuck, or months behind?

If a prior reconciliation was broken, or several months have gone un-reconciled, the difference can compound and become hard to trace on your own. That's routine work for us — we rebuild the reconciliations, correct the underlying entries, and get every account tying out to the bank again.

Questions

QuickBooks reconciliation — FAQs

Why won't my QuickBooks bank reconciliation match?

The usual causes are duplicate or missing transactions (often a bank-feed entry plus a manual one), entries dated in the wrong period, a changed or deleted transaction from a prior reconciliation, an incorrect beginning balance, or downloaded items that were never matched. Working through these in order almost always finds the difference.

My QuickBooks beginning balance is wrong — why?

A wrong beginning balance in QuickBooks usually means a previously reconciled transaction was later edited, deleted, or voided, which changes the starting point for the next reconciliation. The Reconciliation Discrepancy report shows exactly which transactions changed so they can be corrected.

How do I fix a QuickBooks reconciliation discrepancy?

Confirm the beginning balance matches last month's ending cleared balance, run the Reconciliation Discrepancy report to see changed transactions, compare each statement line to QuickBooks, and look for duplicates and wrong-dated entries. Once the offending entries are corrected, the reconciliation clears.

Can you fix months of un-reconciled QuickBooks accounts?

Yes. We regularly rebuild reconciliations that are months behind or that drifted out of balance — correcting the underlying entries and reconciling each period until every account ties out to the bank.
